Job Summary
The Event Venue Coordinator will coordinate and execute indoor and outdoor Museum private events within a team environment as directed by the Museum's Events staff. This individual will serve as a key contact for Museum paid private event clients for everything non Food & Beverage related, and occasionally assists with consumer-facing, site activation events, representing a premium brand, as directed.
Types of Events
• Wedding ceremonies and receptions
• Small and large corporate meetings
• Social events and receptions
• Trade Shows
• Consumer events open to the public
Duties (including but not limited to):
• Working with assigned clients to understand their event needs to ensure successful event execution
• Business communication via email, by phone, and in person with clients as well as internal and external stakeholder
• Recommending and securing event enhancements
• Communicating and managing site and space capabilities and opportunities
• Setting clear expectations to ensure a successful event
• Developing event schedules to include planning and execution of pre and post event load-in and load-out
• Scheduling and greeting clients and vendors upon arrival with pre-event coordination
• Setting up and operating site-provided audio-visual and other event equipment and supplies
• Event operations execution (non-food & beverage related)
• Provide scheduling support by booking rooms, updating event worksheets, files, schedules, and entering them into ReServe event software system.
• Participation in weekly special event meetings with event support team to communicate event support needs. This includes the preparation and review of event worksheet details.
• Works closely with internal event sales, banquet operations, facilities, security and cleaning teams and external vendors and clients.
Education Required
High School diploma or GED is required.
Experience Required
• A minimum of two years’ experience working in hospitality or event planning and execution.
• Wedding coordination experience a plus.
• Must have the ability to work days, evenings, and weekends.
• Must have the ability to be on feet for extended period of time and lift up to 30 pounds.
• Proficiency with event space AV equipment required.
• Strong attention to detail but also flexible and customer focused.
• Professional telephone, interpersonal and written communication skills.
• Ability to work independently and within a cross-functional team environment.
• Confidence in making decisions to ensure successful event progression and make course corrections to ensure superior customer satisfaction.
• Ability to multi-task effectively in a fast-paced environment.
• Must be proficient in Microsoft Office.
